Minutes of the June 11, 2015 Meeting

The meeting was called to order by Carol at 7:08 p.m.
Secretary's Report – The minutes of the May 2015 meeting were read by Trustees in advance. Carol made a motion, seconded by Michael, to approve the minutes. The motion was approved by a vote of 6-0.

Painting of Casey Rd. Wall – Bill Tayler of Scott Paint prepared specifications for preparation and painting of the wall using Scott Paint products. If only the outside and top of the wall are prepared and painted, Scott Paint will not guarantee that existing cracks will not reappear but will provide a three-year warranty against the development of new cracks. Lou Phillips Painting resubmitted a $6,300 bid using the Scott Paint specifications and materials (previous bid was $3,700). Carol noted that Scott Paint preparation costs more. Jason French of Munyan Coatings submitted a bid that included the Gunn Hwy. and Jackson Rd. walls. However, the bid specified that water for cleaning the walls be provided by Beacon Meadows, and the specification did not meet the requirements for Scott Paint. Vince McCormack of Noel Painting submitted a detailed bid for $35,885 that included the Gunn Hwy. and Jackson Rd. walls, with all three sides of the walls to be painted and up to 100 sq. ft. of stucco to be supplied. VanDale Painting had not been contacted about the Scott Paint specifications. Carol will provide a copy to VanDale Painting so that a comprehensive bid may be submitted. She will also notify Noel Painting that a bid should be submitted for only the Casey Rd. wall and ask Lou Phillips Painting to verify that the last bid submitted included crack and stucco repair in accordance with the Scott Paint specifications. Since this is a new process that should be tested, Carol proposed that up to $7,000 be approved for cleaning, crack and stucco repair, and painting of the outside and top of the Casey Rd. wall around the corner to the first column of the Jackson Rd. wall using the Scott Paint specifications. Trustees agreed that a Scott Paint color comparable to Sherwin Williams Sand Dollar (the current wall color) should be used. Anne made a motion, seconded by Penny, that up to $7,000 be allocated (budget category 46.00 – Repair and Maintenance) for cleaning (water not provided by Beacon Meadows), crack and stucco repair, and painting (with a Scott Paint color comparable to Sand Dollar) of the outside and top of the Casey Rd. wall around the corner to the first column on the Jackson Rd. wall using Scott Paint specifications. Additionally, Carol will have the authority to select the contractor for the project once all bids have been submitted. The motion was approved by a vote of 6-0. Trustees agreed that homeowners who wanted the inside of their portion of the wall painted could make arrangements directly with the contractor selected for the project. Carol volunteered to distribute flyers to homes along the Casey Rd. wall to notify residents of the project.
Adjourning/Reconvening of Meeting – Carol made a motion, seconded by Violetta, that the meeting be temporarily adjourned in order for the public budget hearing to be conducted. The motion was approved by a vote of 6-0 and the meeting was adjourned at 7:30 p.m. The meeting was reconvened at 8:14 p.m.
Major Repairs to Gunn Hwy. Wall – Discussion of this subject was tabled in March, April, and May. Carol proposed tabling it again until July. She requested that all Trustees do some research and bring recommendations and/or bids to the July 2015 meeting for repair or replacement of each 40-foot section of the wall or reconstruction of the entire wall so long-term budget planning can begin in earnest. Contractors must be licensed, bonded, and insured and able to apply for a County permit.
Damage to Jackson Rd. Wall – The damage to the wall behind 4833 Cypress Tree Dr. was repaired by T-3 Construction for $175, as approved by the Board in the May 2015 meeting.
Beacon Meadows Website Changes – Barbara completed the transfer of the website to Wix with the assistance of Penny. Annual subscription for Wix webhosting, without Wix advertisements, with 10GB of storage, and using the current domain name (beaconmeadows.org), is $149. Barbara commented that she is exploring options for a new domain host.
There was no new business.
There being no further business, Penny made a motion, seconded by Carol, that the meeting be adjourned, which was approved by a vote of 6-0. Carol adjourned the meeting at 8:24 p.m.
